Automated Project Statuses

ToolTime automatically assigns one of the following statuses based on the latest activity in a project:

  • New Project

  • Appointment Scheduled

  • Appointment Recorded

  • Quote Created

  • Quote Accepted

  • Invoice Created

  • Invoice Overdue

  • Invoice Dunned

  • Invoice Paid

  • Project Cancelled

  • Project Completed

  • Project Reactivated

Changing Project Status Manually

You can manually adjust a project’s status to better fit your workflow. Simply open the project, click on the current status, and select a new one from the list.


What Happens When You Change the Status Manually?

Manual changes are purely visual. They do not affect the actual contents of the project, such as invoices, appointments, or quotes.

Example:
If you manually set the status to “Invoice Paid,” the invoice itself won’t automatically be marked as paid.

Also note: Manual changes do not override the automated system. The next relevant action within the project will automatically update the status again, even if you’ve changed it manually.


Important:

The following statuses should still be changed via the corresponding in-app actions:

  • Project Cancelled

  • Project Completed

  • Project Reactivated
